Profile Update Tool

The Profile Update Tool is an external platform accessed through PitchBook where you securely enter any new data about your firm and upload any supporting files. The information you provide is reviewed by our Data Operations team using this tool. Information is then updated on your profile on PitchBook.

To access the Profile Update Tool and update your firm’s information, tap the Update Profile button located at the top right-hand corner of your profile. This will automatically redirect you to the Profile Update Tool. You can also tap Update Profile from the My PitchBook section on the left-hand side-bar.

Update Profile Tool location

Once you tap Update Profile, you’ll land on the Profile Update Tool page which is the starting point for all actions and updates. Click through the tabs on the top ribbon to enter your various profile updates, including deal activity, office location details, or general information such as name and website.

When using the tool, there are a few key points to look out for:

  • When providing financial information, always specify the currency in the currency field, shown as a drop-down option.
  • On each tab is a Notes & Clarifications text box. We encourage you to use this to provide our team with extra context on the information submitted and give a reason if you remove any data points.
  • Upload any supporting files, such as quarterly reports or financial documents, by selecting Upload File from the top right-hand corner.
  • At the bottom of each tab is a Continue button. Tapping this will automatically store your entered information and move you to the next tab.

Add team members and edit details

Keeping your employee information up-to-date is key to setting you apart from other firms and competitors. Having the right people showcased at your business enhances communication, prospects, and networking opportunities.

To update your employees’ details:

  1. Tap the Team tab along the top ribbon of the Update Profile Tool.
  2. Next, you will see all the employees currently listed as part of your team. If you are looking for a specific employee to update, use the Filter by Job Title, Filter by Status (current or former), or Filter by Office Location options above the list of people’s names to narrow your search. Alternatively, you can scroll through the list of names.
  3. Once you locate a specific employee, update any details that have changed, such as the position or location of the employee. If it’s a name change, the information must be entered into the Notes & Clarification text box for our Data Operations team to update.

To add a new team member to your firm’s profile on PitchBook:

  1. Tap the Team tab on the top ribbon of the Profile Update Tool. Then, on the left-hand side of the screen, tap + Add New Member.
  2. In the free text box with the magnifying glass, type the name of the team member you want to add.
  3. The tool will automatically check if the person already has a profile on the PitchBook Platform. If they do, select their name, and information from their existing profile will be auto-filled into the fields.
  4. Choose the Management Status (Team Member or Board Member), add the Job Title, and tap Save at the bottom.

If the person does not have a profile on PitchBook, type the name into the same free text box and select Add New. The name will autofill into the first and second name fields.

Scroll down to fill in the information about the team member such as location, job title and biography of the person and tap Save at the bottom. This will save them into your list of employees.

“PitchBook is the gold standard for data on privately-backed companies and the VC and PE ecosystem. Over the years they have expanded their coverage to provide excellent data on public companies and M&A as well, and have vastly increased the coverage on international companies. The platform is intuitive and easy-to-use and customer service is top-notch.”

Your profile dashboard

Your profile dashboard is located on the PitchBook Platform and can be accessed by tapping Update Profile from the My PitchBook section of the left-hand sidebar. The dashboard acts as a place for you to keep an eye on the progress of any profile updates made by you or your colleagues.

Profile Completion Score

You can find your Profile Completion score at the top of your profile dashboard on the right-hand side. Only visible to you and your firm, the score is displayed as a percentage and reflects how complete your firm’s PitchBook profile is based on your submitted information. A more complete profile increases the chances of your firm being discovered on the platform through searches and market research. Below your score, you will see the completion scores of similar companies and top industry players for comparison.

The Update Key Information section to the left of the score provides links to the main data points that are missing from your profile. Boost your score by submitting information in these sections. Either tap the blue links from the Update Key Information section or tap the Update Profile button on the right-hand side of the screen. Selecting either option will take you to the Profile Update Tool where you input your additional information.

Profile Completion Score

Profile Completion Score calculation

For each of the different sections of your profile, you will get a completion percentage based on the amount of data you provide. The overall profile completion score is then calculated by taking the completion percentages of the sections and dividing the total value by the number of profile sections.

For example, you’re working for a company and you’ve submitted the following amount of information in the seven sections for your profile from the Profile Update Tool:

  • General Information: 86%
  • Company Profile: 100%
  • Deals: 71%
  • Financials: 14%
  • Teams: 99%
  • Offices: 93%
  • Service Providers: 75%

The Profile Completion Score adds these percentages together and divides by the total number of profile sections (which is 7 in this case):

(86% + 100% + 71% + 14% + 99% + 93% + 75%) = 538 / 7 = 77%

This results in a total Profile Completion Score of 77%.

I updated some of my old records and my profile completion score did not change. Why?

For certain datasets such as deals, funds, portfolio investments, and others, we calculate profile scores based on data provided from the past 3 years. For example, if the current year is 2025, we will only calculate data from the calendar years: 2025, 2024, and 2023. You can still update older records, but updates will not impact your score.

Why has my profile completion score decreased after the profile update?

If you removed data that was previously available on your profile and did not provide updates within the same submission, your score may decrease. If you decide to remove any data from your profile, we encourage you to provide a valid reason for removal and update with accurate data when appropriate, to minimize the chances of your profile score decreasing.
